A tailor's records are unusually personal — your measurements describe you more precisely than a photograph. This policy explains what Golden Shears Atelier Enterprise (trading as HostVault Tailors, “we”, “us”) collects through hostvault.my and at the atelier, why we collect it, and the choices you have. We process personal data in accordance with the Personal Data Protection Act 2010 (Malaysia).
1. What we collect
- Contact details — name, email address and phone number, provided when you submit the appointment form or contact us directly.
- Commission details — the garment type you select and any notes you choose to include with a request.
- Fitting records — body measurements, posture notes, fabric selections and order history, taken at the atelier with your knowledge.
- Technical data — basic server logs (IP address, browser type, pages requested) generated automatically when you visit the site.
2. Why we collect it
- To respond to appointment requests and schedule fittings.
- To draft, cut and adjust garments — measurements are the raw material of the craft.
- To keep your pattern on file so repeat commissions and reorders fit without a full re-measure.
- To maintain the security and performance of this website.
3. What we never do
We do not sell, rent or trade personal data. We do not send marketing messages unless you have explicitly asked for them. We do not use your measurements for any purpose other than making and adjusting your garments.
4. Storage and retention
Appointment enquiries are retained for up to twelve months. Client patterns and measurement records are retained while you remain an active client, because they are precisely what makes future commissions faster and better; you may ask us to delete them at any time. Server logs are rotated automatically after ninety days.
5. Sharing
Data is shared only with service providers strictly necessary to operate — our web hosting provider (servers located in Malaysia) and, where embroidery or specialist pressing is subcontracted, the minimum garment details needed to complete the work. No measurement data leaves our systems in identifiable form.
6. Your rights
Under the PDPA you may request access to the personal data we hold about you, ask for corrections, or withdraw consent to further processing. Write to [email protected] and we will respond within twenty-one days. You may also lodge a complaint with the Department of Personal Data Protection Malaysia.
7. Children
Measurements for the kids uniform programme are taken only with a parent or guardian present, and all correspondence about a child's order is conducted with the parent or guardian.
8. Changes to this policy
If we change this policy we will update the revision date above. Material changes will be flagged on the homepage for thirty days.
